How to Handle Re-Interviews
When an applicant is scheduled for a re-interview, the first step is to duplicate their application record. This is important because the original application contains the applicant’s previous interview scores, and the system will overwrite those scores once the new interview is completed.
Duplicating the application record ensures that both the original interview results and the new re-interview results are preserved for reference.
How to Duplicate an Application Record
Records> Duplicate Record
If you do not want the applicant to appear on your rank list twice, you can archive the older application record.
Change the Application Date of the Duplicated Application
The next step is to update the application date on the duplicated record to a date later than the original application date.
This can be as simple as moving the date forward by one day or using the date the applicant requested the re-interview.
Updating the date ensures the two application records do not share the same application date.
Make a note in the notes section that this is a duplicate application used for a re-interview.
Always leave the original application with its original creation date—do not backdate it. Only adjust the date on the new duplicate application.
Schedule Interviews as Normal
Now, with your duplicated application record, you can remove the old interview date, enter the new interview date, and schedule interviews as normal.
The interview average and scores from the previous interview will carry over to the duplicated record. You may choose to leave these scores in place or delete them manually. Once the re-interview is completed and the interview panelists score the applicant again, the new scores will overwrite the previous ones on the duplicated record, and a new interview average will be calculated.
